Practice-management software

Your PIMS is the heart of the practice. We keep it beating.

Whether your practice-management system runs on a server in the back room or in the cloud, it depends on hardware, networks, accounts and backups. That part is ours. Your software vendor keeps handling the application itself, and we work with them directly.

Server-based systems

Common in established practices, for example AVImark or Cornerstone installed on a local server.

  • Server sizing, health monitoring and disk and database checks
  • Database-aware backups, tested by actually restoring them
  • Workstation client updates coordinated with vendor releases
  • Secure remote access for doctors, without exposing the server to the internet

Cloud-based systems

Browser-based platforms such as ezyVet, Covetrus Pulse or Shepherd move the server off site, but not the risk.

  • Reliable internet with automatic failover, because no internet means no records
  • MFA and single sign-on where the platform supports it
  • Secured, updated browsers and devices at every workstation
  • Migrations and integrations planned around your schedule

Digital radiography & imaging

Imaging that is fast to read, safe to store and easy to share

Digital radiography, dental radiography and ultrasound produce large DICOM files that need to reach the right workstation, the patient record and sometimes an outside radiologist.

Segmented networks

Client and guest Wi-Fi kept separate from clinical systems, imaging and card terminals. That separation also helps narrow PCI DSS scope.

Phones & call flow

Backup & ransomware protection

Patient history you can always get back

Ransomware doesn't only encrypt your server. It goes looking for your backups. Ours are designed so that it can't reach them.

  • The 3-2-1 approach: multiple copies, different media, one off site
  • An immutable or offline copy that can't be changed or deleted from the clinic network
  • PIMS databases, imaging archives, documents and email all covered
  • Scheduled restore tests, with the results written down
  • Endpoint detection and response (EDR) to catch attacks before they spread
  • A written recovery plan, so everyone knows what happens first
Pricing approach

Clear, flat and quoted after we've looked

Every practice is different, so we don't publish a one-size price. We do keep it simple.

  • A flat monthly fee for managed IT and security, based on your locations, staff, workstations and systems
  • The quote follows the assessment and is in writing before any work starts
  • Projects, such as a new imaging install, PIMS migration or clinic build-out, are scoped and quoted separately
  • Hardware and software purchases are passed through transparently, with recommendations rather than upsells

FAQ

Questions practice owners ask us

Do veterinary practices have to follow HIPAA?

No. HIPAA applies to human healthcare providers, health plans and their business associates, not to veterinary medicine. That doesn't mean there are no rules: payment-card security (PCI DSS), state breach-notification laws, state veterinary record-confidentiality rules and DEA controlled-substance recordkeeping all apply. Our security page explains each one.

Will you replace our practice-management software vendor's support?

No. Your vendor supports the application. We handle everything around it, including servers, workstations, networks, backups, accounts and security, and we call the vendor for you when the problem is on their side.

We already have an IT person. Can you work with them?

Yes. Many practices have a staff member or local contractor who knows the clinic well. We can take over monitoring, security and after-hours coverage while they keep handling day-to-day requests.

What happens if something breaks after hours?

Monitoring runs around the clock. For 24/7 emergency hospitals, after-hours response is part of the plan we agree on, including who to call and what counts as urgent.

Will onboarding disrupt appointments?

It shouldn't. We plan any disruptive work, such as server changes, network cutovers or migrations, before opening, after close or on slower days, and we tell your team in advance.

Do you handle phones and internet too?

Yes. We manage VoIP phone systems, call routing, internet circuits and failover, and we deal with the carriers so you don't have to.

How is pricing determined?

After a short assessment, we quote a flat monthly fee based on locations, staff, workstations and systems. Projects are quoted separately, in writing.
