How support works

Your team already texts everyone else. Now they can text IT.

No portal to log into, no ticket number to remember, no describing the problem to someone who has never seen a treatment sheet. Send a message from wherever you are standing — a photo of the error works too.

Text a technician

One line for the whole hospital

Your practice gets a direct number the day you start. Text a screenshot of the error, the printer that died, or the workstation that will not wake up. Answered by a technician, not a bot.

Email a technician

help@vettechit.com

Better for the things that can wait until after close — new staff onboarding, a workstation quote, a software question. Every email creates a tracked ticket you never have to touch.

We escalate, not you

Hospital down? We call you.

Anything that stops patient care jumps the queue automatically and a technician calls your practice manager within minutes, every time.

The practices

The part of the job we stay out of.

Our work is invisible when it is working. This is what the day looks like when the technology behaves itself.

Before you text

Most of the time, we get there first.

Every server, workstation and connection in your hospital is monitored continuously. Failing drives, full disks, stalled backups and dropped links raise an alert on our side, usually before anyone at the front desk notices something is slow.

Roughly two in three incidents are resolved before a single message is sent.

  • ContinuousAutomated monitoring on every server, workstation and network link — alerts come to us, not to your front desk.
  • After closePatches, updates and reboots run on your schedule. Never mid-appointment, never mid-surgery.
  • Every nightOffsite backup of the practice database and imaging archive, with a test restore proven monthly.
  • Every quarterA plain-English review with your practice manager: what broke, what it cost, what to replace next.
Security & compliance

Veterinary practices are soft targets. We make yours a hard one.

Practices hold card data, client identity records, controlled-substance logs and irreplaceable medical histories — usually behind a consumer router and a shared password. Attackers know it.

Payments

PCI-DSS scope, reduced

Segmented payment terminals, quarterly scans and completed SAQ paperwork, so a card breach at the front counter cannot spread to the treatment area.

Controlled substances

DEA electronic record requirements

Access controls, audit trails and retention for electronic controlled-substance logs, aligned to 21 CFR Part 1311 — with reports ready for a board inspection.

Medical records

State retention rules, automated

Record-retention windows vary by state board. We configure archive and deletion policy to your state's requirements instead of keeping everything forever by accident.

Insurance

Cyber questionnaires, answered

MFA, EDR, immutable backups and documented incident response — the controls carriers now demand. We fill out the questionnaire and provide the evidence.

A note on HIPAA: most veterinary practices are not HIPAA-covered entities — animal health records fall outside it. But your employee health data, your payment data and your state's veterinary practice act all carry real obligations. We build to those, and we will tell you plainly when a vendor is selling you compliance you do not need.

What practice managers actually say about us.

My receptionists text them from the front desk mid-appointment. Half the time the answer comes back before the client has finished checking out. Nobody sits on hold anymore.

I emailed at 11pm about a server that was throwing errors. It was fixed before I opened the hospital, with an explanation I could actually understand waiting in my inbox.

The risk report they handed us after the walkthrough was the first honest picture of our network anyone had ever given us. We signed before we finished reading it.

Questions

The things owners ask on the first call.

Do we really just text or email you?

Yes — it is that simple. Text or email a veterinary IT technician and the work starts. Photos and screenshots are welcome; a picture of the error message usually saves ten minutes of explaining. Every message becomes a tracked ticket on our side, so nothing gets lost and you never have to open a portal or quote a ticket number back to us. Phone support is available as an add-on, and we run a full range of security services if those are of interest too.

What are your support hours?

We are open 8am to 5pm Central, Monday to Friday. Messages that land outside those hours are queued and picked up first thing the next working morning — you never have to re-send them. Monitoring runs continuously in the background regardless, so overnight failures are usually already flagged and waiting on the technician when the day starts.

We already have an IT person. Can you work alongside them?

Often the best arrangement. We take monitoring, security and backup; your internal person keeps the day-to-day floor support they are already good at. We call this co-managed, and it is quoted at a reduced monthly rate.

Are we locked into a contract?

Text and email support runs on a three-month minimum term, then continues month to month with 30 days' notice to cancel. If we cannot keep you, we would rather know early. Your documentation, passwords and configuration records are yours and leave with you.
